President Mike Ludwick called the business meeting for the Fall VA-SRA chapter meeting to order December 8, 2004 , at 12:30 P.M. In attendance were President Ludwick, President-Elect Kobby Hoffman , Treasurer Lorraine Murphey, and Secretary Pat Hobbs. Minutes of the VA-SRA Spring meeting on June 9, 2004 , hosted by the University of Virginia , were in the meeting packet for review. A motion was made and seconded that the minutes be accepted as presented, and the motion carried. The Treasurer’s report, also in the packet, was likewise approved. Committee Reports and Old Business : President Ludwick recognized Virginia Tech for hosting the meeting and thanked the Program Committee, chaired by Kobby Hoffman , with special thanks to David Richardson of Virginia Tech, for providing a great program. The attendees were reminded that VA-SRA has a Bylaws Committee, chaired by Pat Buennemeyer, and members can contact the Chair to suggest changes or additions to VA-SRA Bylaws. At the 2005 Spring VA-SRA meeting, a new President-Elect and Secretary will be elected. Michael Glasgow, as chair of the Nominating Committee, will be responsible for securing nominations. New Business: President Ludwick announced that the 2005 Spring meeting will be held at Virginia Commonwealth University and asked for a volunteer to provide a meeting site for the Fall 2005 meeting. A proposal to revise eligibility requirements for the VA-SRA Travel Fellowship was the next order of business. Since VA-SRA members no longer pay dues and since the current eligibility requirements are unclear and not as explicit as they need to be, changes were proposed in the language. President Ludwick provided the current language for eligibility for the travel fellowship and the proposed language revision. The current language:

A motion was made, seconded, and the motion carried to accept the revised language. Eligibility requirements will be updated in the Guidelines for the Fellowship Program of the Virginia Chapter of SRA International (VA-SRA). Discussion followed regarding capping the travel fellowship amount. The current guidelines say that VA-SRA will pay full costs for an annual meeting, or a southern section meeting. Many members were concerned that VA-SRA could not afford to pay full costs since most of the annual and section meetings were costly. A motion was made, seconded, and carried that eighty percent (80%) of the full costs of the travel fellowship will be paid up to an amount of $1500. The Guidelines for the Fellowship Program of the Virginia Chapter of SRA International (VA-SRA) will be updated to reflect this revision. The travel fellowship revisions will not go into effect until after the January 31, 2005 deadline. Discussion followed regarding VA-SRA meeting frequency and duration – whether to have one annual meeting for longer duration vs. two one-day meetings each year. Members decided to keep the current arrangement of two meeting each year. It was suggested, however, that the one-day CRA review workshop might be added either the day prior to, or the day after, the regular meeting. Kobby Hoffman , the program chair, agreed to pursue this suggestion. Mike Glasgow also suggested other workshops might be offered on the same day of the CRA review. There would be additional costs for the CRA review and other workshops. Maintenance of the VA-SRA Listserv was discussed and Kobby indicated she desperately needed help from someone at UVA for this task. The final discussion revolved around Chuck Chermside and appreciation for his years of devotion to research administration and to the VA-SRA. A plaque and certificate of lifetime membership was presented to Chuck. Anne Womack, who was also active in VA-SRA for many years but could not attend the meeting, will also be given a plaque and lifetime membership status.
